Doge Day 2024 - Bigger and Better Than Ever

Some of this is borrowed and built on from @SaladPingers 2023 proposal, with some modifications. We can further assess and change things as we go, but needed to put ink to paper for the hotels.

Remember how great Doge Day 2023 was? Everything came together perfect in such a short amount of time, thanks to the hard work of Saladpingers and the full team.

This time - let’s have a little more breathing room and time to plan, and make it bigger than before.

Make Doge Day 2024 the biggest Doge event we can put together, generating massive media buzz around the world, with special guests, world class entertainment, and even a Guinness World Record!

The main event on November 2nd will be open to the public for free. We want everyone to come from far and wide.

This will be a BYO flight deal, where 20+ VIP guests pay $1669 (early bird) $1942.0 (regular price) each for three nights accommodation (Party in Tokyo on HALLOWEEN!), transport, meals, a Limited Doge Swag Bag, exclusive VIP Networking Event and VIP treatment on Doge Day.

We will invite special guests from Japan to attend on the day. These KOLs are VIPs but will not be a part of the VIP program that we plan to sell tickets for, but rather, will be invited so that they can promote the event to their audiences and discuss things with ours. We’re looking for web3 projects, local influencers, content makers, and youtubers, to have the maximum impact.

We are in current talks with Sakura City once again. OTD has built relationships with the Mayor of Sakura City, especially with the help of our translator Yohei, to continue to make events that the City is proud to be involved in. The City has committed this time around to offering staff and support for the event, more than in 2023.

We will also seek sponsorship from Japanese web3 orgs such as Coinpost, who we have an ongoing relationship with. We have identified a number of potential sponsors. In return for their financial support, we will promote them on all marketing collateral for Doge Day in the lead up, and as part of the infrastructure we hire/build on Nov 2nd. The deals made will be on a case by case basis. CoinPost was a sponsor in-kind last year, but this year as a proven event we will be seeking additional from them.

We will work with sponsors and partners to build an exciting itinerary for Doge Day, and confirm media coverage for the day, Ellio will help out with drafting a deliverable list so everyone from within the team is aware of what to do, when to release a specific piece, etc.

We will create an NFT drop to commemorate the event, with free/cheaper mints available for connected communities such as OTD, NFD (see FINANCES, below) and other potential sponsors.

Some of the events/activations/concepts we are exploring:

  • Speeches by the Mayor, Atsuko, John Monarch, Tridog, etc
  • Photobooth and/or media wall with Yellow Carpet + statue
  • Press moment: Atsuko + Memes + OTD crew
  • Guinness World Record
  • Food trucks
  • Decentralized Dance Party
  • Photo with Memes for VIPs
  • Educational content. Partners can bridge people to their L2s, or mint on-site, and teach web3
  • Music (We must respect noise levels and neighbors)
  • Performers, Artists (Sketch artists?)
  • Live Stream element
  • Side events/after parties/kick-ons.

ROUGH PLAN FOR THE EVENT DAY (There will be other events on other days)*

  • START OF THE DAY Breakfast for VIP + Crew at Hotel

  • 12:00 Going to event with private bus(es). Local artists set up

  • 13:30 VIPs + Public arrive at event.

  • 14:00 Opening Speech

  • 14:30 World Record Attempt

  • 15:00 Ongoing educational content + Web3 topics?

  • 15:30 Music (Local artists/DJ/Hype Soichi Terada**)

  • 16:30 Some sort of display with the statue

  • 16:45 Photo Op for Press with Atsuko, OTD, VIPs, Memes etc***

  • 17:15 DDP

  • 18:15 Buses leave for Tokyo

  • 19:45 Stop at hotel, refresh, drop off stuff

  • Afterparty ???

We are discussing other memes like “Hide the Pain Harold” - including photos with him for VIPs.

John will serve as the press liaison

We need to push this to a vote immediately so that we can fund the hotel deposit. That is the most urgent as Tokyo tourism is reaching an all-time high, and hotels are struggling to keep up with demand.

We are asking the DAOge for $20k up front to cover part of this project, with an option for a second $20k later if needed. Our expenditure will exceed this, however to secure certain commitments we do need to act earlier, namely hotel and potentially GWR. Of note - for 2023, the National Day Calendar group was not part of the Doge Day proposal and finances. It was totally separate. I am including GWR in this one for a more accurate picture.

To confirm additional sponsors, we are working on a pitch deck with Elliothereum, and will offer commissions to those who bring us paid sponsors (10%).

The NFT that we create for this event will have royalties going to OTD and the artist who creates it. We will figure out with the NFT sponsor chain their level of involvement.

It is hard to know at this stage how large the expenditure and revenue will end up being. Expenditure will be on event logistics (stage, tech, performers, food, personnel, etc) and will be determined after discussions with Sakura City Council. Revenue will come from OTD, NFD, other sponsors, ticket sales. If ticket sales are lower, we can reduce certain expenses (airfare, bus, etc). We anticipate expenses will be higher than last year due to the event having a larger scale, however revenues are also expected to be significantly higher. This budget has been padded on the expenses a bit to ensure that we have room and expectations are set.

Revenue and any profit will go first to OTD, repaying the 20-35k grant.

90% of profit OTD

10% charitable works

This is a large budget, with some items over allocated for safety. John is experienced at managing budgets of a much larger scale as well. As long as we can secure additional sponsors, we are confident we can pull this off. If sponsors are hard to confirm, we can reduce the scope in certain areas. This is as detailed a breakdown as we can provide right now, and we need to start work immediately, building relationships and disseminating a Pitch Deck to potential sponsors/partners.

REVENUE GOAL: $205020.50

Febuary 2024:

Lock in hotel rooms

  • As soon as this proposal is approved and first payment is received, we can engage Yohei to start our conversations with Sakura City Council, Atsuko, and Takenaka to confirm the scale of the event and also potential sponsorship/in-kind support.
  • We will work with Elliotherium to create a Pitch Deck for sponsors and build a list of targets. Then we will approach them one-on-one, leveraging OTD networks where necessary. As part of this stage, we will produce a hype video, used for selling tickets and pitching to sponsors.
  • Begin marketing for sponsors and partners through social media

March 2024 - July 2024

  • Build and pitch target VIPs to confirm their interest in buying a ticket
  • Begin ticket sales online in March/April
  • Seek to confirm additional sponsorship/funding/in-kind support
  • Secure events. This includes dinners, VIP parties, etc.
  • Work to get vendors and artists set for the day of
  • Work with GWR to finalize our world record
  • Continue to pitch more sponsors
  • Begin buildup of hype
  • Confirm meme attendees by June so we can use them in further hype material for ticket sales and PR
  • Confirm merch that will be sold on site with Merch + Design team, and ensure orders have been placed to meet requirements
  • Engage event management team again
  • Confirm buses/transportation for events with bus companies

August 2024

  • Make sure team flights are booked
  • Ideally we finish selling tickets and are sold out

September 2024

  • Aggressive press + media outreach
  • Confirm local influencers, special guests, etc who will help us to market the event to their audiences. This can be done along the way for hype
  • Build the NFTs for the event
  • Finish swag bag

First two weeks of October

  • Send out press releases
  • Media push continues
  • Any printing of signs should be done

Last two weeks of October

  • Final stages.
  • Team arrives first
  • Merch is shipped, be it in checked luggage with team members, or by cargo
  • On-site materials purchases again will be done and team will build signs, crafting stuff

There will be a more detailed itinerary for the final week of October and the first week of November, which will get built as we move forward.

Love this well thought out and thorough plan.

We’ve seen initial interest from high level sponsors including Base and meme legend Hide the pain Harold, we have a forever Doge landmark on site and support from Sakura City Officials.

You have extensive experience traveling to and from Japan, and did an excellent job helping with the logistics of our last trip so I’m in.

Let’s do it bigger and better this year!

I am a 100% YES and committed on going this year.

One request: hire the person that does all those wild meme videos for Atsuko with kabosu, cats and fruit for promotional content. I have no idea what they say but i love it.

Some key notes -

  • These plans can be scaled down (or up) based on sponsor participation and ticket revenue
  • We will need to have a good platform for selling tickets. I’m not sure if Shopify is the best for that given the cost, but we also want to accept crypto. Ideally the Base team or someone has some ideas (Shrugs maybe knows one) that can accept crypto AND credit cards, and issue tickets.
  • I have potentially 2 volunteers (no comp) who would be able to run a merch booth all day Nov 2, and sell merch on the side throughout. They can share a room to reduce cost but just have to get there.
  • I did not include the DAOge grant in the revenue figure - however for transparency it may be best to show that, even if it does get paid back. Add 20/40k to the revenue line item for the event if so.

I received the updated pro forma invoice from the hotel. Originally it was based on 75 rooms, but we agreed to 50 for now. This changes the hotel total cost to:

4,828,860 JPY inclusive of breakfast and tax. This comes out to $32,090.03 as of posting.

Required deposit: 1,609,620 JPY - which is $10,696.73

This reduces the total projected expenses by approximately $22,000.

I see, excellent catch

Def worth some research here, we can definitely tap Base + think of novel ways to advertise the tickets; That’s great that you have some volunteers lined up for the booth

This is an excellent break down of all the major things! Love to see us gearing up well in advance and considering how well acquainted John is with Japan, we are in safe hands kek.

I’m curious if we plan to cover activity costs/ plan activities, apart from Doge Day for the VIPs between 31st Oct- 3rd Nov as well. Something similar to what was done in Doge Pilgrimage V1.

So we did for Doge Day (November) as well, and that was my plan. The dinner cruise around Tokyo was a big hit last year, people loved it. We can also consider some other events i.e. on Halloween maybe. The afterparty after Doge Day people enjoyed but wished they had time to stop at the hotel - we organized and covered that afterparty.

I have new venues in mind for the afterparty that I think would be better suited to our brand of wow (and in better locations). More time to plan is going to help us a lot.

Here’s one place we spoke to last year, but the timeline was too tight to book them: - It’s in DOGEnzaka Shibuya :upside_down_face:

I have been speaking with Smoke on the best way to structure the funding for this, but a key note is that Doge Day 2023 + National Day Calendar was $65k from the DAO in total. I think with GWR, all reservations, we can keep it at $50k or less from the DAO (my OP mentions $40k in two tranches), and make it turn a significant profit
